Most painting contractors price jobs based on gut feel, a rough mental picture of how long it'll take, and a number that feels about right. That's not estimating — that's guessing. And guessing is why you finish a job that looked fine on paper and wonder where the money went.
Your Hourly Output Is Already There — You Just Haven't Written It Down
Next week, grab a notepad. Pick a standard internal wall repaint — no complex cutting in, average conditions. Time yourself (or your best painter) from the first stroke to the last. Then measure the area you covered. Divide area by hours. That number — say, 14 m² per hour (about 150 ft²/hr) — is your production rate for that surface.
Do that for every surface type you regularly paint. Walls. Ceilings. Doors. Trims. Fascia. Roof. Each one has a different output, and each one affects your painting hourly costs differently.
You probably already know this intuitively. A door with panels and lots of cutting in takes far longer than a large open wall. But without a written number, you're estimating from feel every single time — and feel drifts, especially when you're busy, had a rough day or quoting fast.
What a Production Rate Actually Tells You
A production rate converts area into hours. Hours multiplied by your fully-loaded labour cost gives you the true cost of a job before you've touched paint or materials.
Here's a simple example. You're quoting 80 m² (860 ft²) of internal walls on a standard repaint. At 15 m²/hr (150 ft²/hr), that's 5.3 hours of painting time. At a fully-loaded labour cost of $35/hr USD (or $50/hr AUD, £22/hr GBP, $40/hr NZD, $35/hr CAD), you're looking at a real labour cost of roughly $185 USD just for the painting on those walls — before ceilings, doors, trims, prep, or any on-costs.
Now imagine you guessed "half a day" and sent the quote. Half a day might only be 4 hours in your head. That's $35–$50 of labour cost quietly disappearing on a single room, on a single surface type. Multiply that across a full repaint job with 12 surfaces and 3 coats, and you've got a serious problem.

The Eight Speeds of Painting (and Where Your Work Actually Sits)
Not every surface is equal. A useful way to think about production rates is on a speed scale from intricate to full production spray:
- Intricate (Step 1): 3 m²/hr (30 ft²/hr) — heritage mouldings, fine cutting in
- Detailed (Step 2): 6.5 m²/hr (70 ft²/hr) — panels, balustrades, lots of cutting in
- Careful (Step 3): 10 m²/hr (100 ft²/hr) — ceilings, trims, some cutting in
- Steady (Step 4): 15 m²/hr (150 ft²/hr) — standard wall repaint, good conditions
- Efficient (Step 5): 20 m²/hr (200 ft²/hr) — open areas, minimal cutting in
- Open (Step 6): 25 m²/hr (250 ft²/hr) — large surfaces, good access
- Rapid (Step 7): 30 m²/hr (300 ft²/hr) — production spray, repetitive surfaces
- Production (Step 8): 35 m²/hr (350 ft²/hr) — full new-build spray, maximum coverage
Most residential repaint work sits between Step 2 and Step 4. Most new-build work pushes into Step 6 and above. When you time your own painters and write down the numbers, you'll quickly see where your team sits on this scale — and whether the rates you're quoting off match reality.
The most common mistake: quoting walls at Step 4 when a difficult room with lots of windows, reveals, and cutting in is really Step 3 or Step 2. That one-step difference on 60 m² (645 ft²) of wall is the difference between 4 hours and 9.2 hours. That's a $180–$280 USD underquote on labour alone.
Prep Time Is Separate — Don't Confuse the Two
When you're measuring your production rate, only time the painting itself. Prep time — sanding, filling, priming, masking — is calculated separately using prep levels, not production rates.
Prep is typically added as a percentage of painting hours:
- Standard prep: could add 30% to painting hours — light sand, spot fill, dust down
- Moderate prep: adds 50% — full sand, fill and prime patches
- Heavy prep: adds 80% — strip, scrape, extensive filling, full prime
- Very Heavy prep: might add 120% — full paint removal, major substrate repair
The most costly quoting error in the industry? Applying Standard prep (30%) to a job that actually needs Heavy prep (50%). On an exterior repaint with weathered timber, that gap silently adds hours your quote never accounted for. Your painting hourly costs look fine on paper — but the job still bleeds money.
