Crew sign-off via QR code + portal
Once a crew brief is generated, you can request digital sign-off from your painters. A QR code on the printed brief (or a shared link) takes each painter to a mobile-friendly sign-off page. They sign and it's recorded permanently against the brief.
How to set it up
- In the crew brief page, toggle Require sign-off to on.
- Tap Share for sign-off. Surfacely creates a private link.
- Use the QR code shown on the brief's PDF, or copy the link to send via message. Either route opens the same portal.
What the painter sees
- Your branded header — logo, colour, business name
- The full crew brief content — hazards, controls, site rules, emergency number (tel-linked)
- A signature pad — draw with finger, or type your name if drawing fails
- Mandatory acknowledgement checkbox
- Signed confirmation with timestamp
Each signature is captured with the painter's name, signature image, timestamp, and IP address. As many crew as you need can sign.
What you see
Back in the crew brief page, the signature list updates live — you can see who's signed and who hasn't without refreshing. The PDF also includes the signature list, so the record travels with the document.
Why it matters: in a safety incident, being able to show that the crew was briefed and signed off is often the difference between a manageable situation and a regulatory nightmare. Digital sign-off gives you an evidence trail that paper forms can't match.
Tip: make the QR scan part of your pre-start ritual. "Scan, sign, start" becomes a 30-second habit that protects you and the crew every day.
