Email preferences and completion follow-ups
When you mark a project complete, Surfacely sends a short email sequence to the client over the following month. These emails keep the relationship warm, follow up on any outstanding balance, and request a review when the timing is right.
The sequence
- Day 0 — on completion — a thank-you email sent to the client as soon as the project is marked complete
- Day 7 — a review request, with a link to your review platform of choice
- Day 14 — a payment reminder; includes the outstanding invoice link if there's still a balance unpaid
- Day 30 — a second payment reminder; again includes the invoice link if the balance remains outstanding
The review email (day 7) only sends if you've set a review link in your email preferences. The payment reminders (days 14 and 30) only send if money is actually outstanding at the time they fire — the amount is checked live, not locked in at project completion.
Turning off the sequence for your whole organisation
Owners and admins can disable the completion email sequence entirely in Settings → Email Preferences. Future completed projects will skip it. Emails already in progress for previously completed projects aren't affected.
Turning off the sequence for a specific project
If a particular client shouldn't receive the sequence — a commercial client who handles their own payment processes, for example — you can disable it per-project from the project hub after completing it. That project's sequence stops immediately.
Custom cadence
If the default 7/14/30-day timing doesn't suit your business, you can adjust the intervals in Settings → Email Preferences. The stages stay the same; you control the gap between them.
Your review link
The day-7 email includes a link to wherever you collect reviews — Google Business Profile, Houzz, Facebook, or any URL you choose. Set this in Settings → Email Preferences. If no link is configured, the day-7 email doesn't send.
Why it matters: the gap between job completion and invoice payment is where client relationships quietly drift. An automated follow-up sequence maintains visibility without you having to pick up the phone — and a review ask at day 7 arrives while the work is still fresh in the client's mind.
