Condition reports — assess a building and send the client a report, with no quote
A condition report is a dated, photographed account of how a building's painted surfaces are holding up: every area rated Red, Amber or Green, every defect recorded with a photo, and a plain list of what to do and when. A body corporate, strata or owners' committee, an HOA board or a facilities manager orders one before deciding on any painting. They need it for the sinking fund or capital works plan, to brief a meeting, or to show the property is being looked after. They pay a fee for it, and no quote is involved.
For a painter it is work in its own right, and it is the best lead there is. You have already walked every building, photographed every defect and earned the committee's trust. When the Red areas need doing, the quote or the multi-year program comes from the same buildings, with nothing measured twice.
What it is not
It is a visual assessment of the painted and coated surfaces, made from the ground and from accessible points. It is not a structural, compliance, asbestos or lead report, and the report says so in its own words. Where you notice something of that kind, record it so the client can bring in the right person.
The flow, start to finish
- Create a Condition report job. New job → Condition report. Pick the client and the buildings. There is no measurement and no quote step. The job sits on your calendar and in your projects like any other.
- Assess each building on site. From the job, tap Assess beside a building. The screen walks the building's areas in order and asks the same five things of each: a rating, any surface that differs, the defects (each with a photo), any photo points, and a note. See Assessing a building on site.
- Every photo is checked. Faces, people, number plates and the inside of homes are blurred automatically on the copy the client sees, and your original stays private. A photo that could not be checked is held back. See Photo privacy and location.
- Review and send. The review screen lists anything still in the way, shows every photo exactly as the client will see it, and takes your summary. Send emails the client a secure link to the web report with its PDF. See Sending a condition report.
- Invoice the fee. The job's Invoices section is open at any stage of a report job. Type the fee and send it, the same way you send any invoice.
The one scale
- Green: sound, no action needed.
- Amber: wear showing, plan work within 1–2 years.
- Red: failing, act now.
- Not inspected: an area you could not get to. It is reported as exactly that, never as Green.
The scale is the same on your screen, in the client's report, in the PDF and in the counts on the building's page, so there is never a second way to read a rating.
What the client receives
An email with one link. The link opens the report as a web page branded as your business: a summary with the Red/Amber/Green counts, each building and area with its rating, the defects with their blurred photos and where each was taken, your recommendations grouped by Now, Within 1–2 years and Monitor, a method-and-limits section, and a Download the PDF button. There is no price anywhere in it. The report is frozen the moment you send it; a correction is a new version, and the old link stops working.
A quick check without a job
On any building's page, Assess condition starts an assessment with no job behind it. Use it for a pre-quote inspection or a client who is not paying for a report. It feeds the building's health chip and a later proposal's Our Assessment section, but it cannot be sent as a report: only a Condition report job has the client, the link and the fee.
From report to work
When the committee says yes to the Red and Amber items, create an ordinary repaint job on the same client and buildings. A proposal from that job can take the condition assessment into its Our Assessment section, so you never type a defect twice. See Condition assessments in proposals.
