Subscription plans and billing
Your Surfacely subscription is managed under Settings → Billing & Plan. Only the account owner can view and change the subscription.
Plan tiers
Every feature is on every plan. The plans differ only in team seats, devices per person and the Free plan's building limit.
- Free — 2 seats, 2 devices per person, 5 buildings created in total (we'll extend you to 10 once). No card required, no time limit.
- Starter — 3 seats, 2 devices per person, unlimited buildings and projects. For sole traders and small crews.
- Professional — 10 seats, 3 devices per person, unlimited buildings and projects. For growing businesses with staff.
- Enterprise — for more than 10 people: the Professional price plus a fee for each seat above 10. You choose it, and the number of seats, yourself under Billing & Plan.
Choosing a plan
- Go to Settings → Billing & Plan
- Tap Select on the plan you want
- The first time, you're taken to a Stripe-hosted checkout page — enter your card details there
- Once payment confirms, your account upgrades immediately
Billing is in your local currency and is charged monthly. There is no annual plan. Stripe adds GST, VAT or sales tax automatically where applicable.
Changing plans
If you already pay for a plan, choosing another one shows you the amount before you confirm. An upgrade (or more Enterprise seats) starts straight away and the difference for the rest of the month is charged then. A downgrade also starts straight away, and the unused part of the dearer plan is taken off your next invoice — it isn't refunded to your card.
Managing your subscription
From Settings → Billing & Plan you can:
- View your current plan and next renewal date
- Update your payment method
- Download invoices
- Cancel your subscription
Use Manage subscription for your payment method, invoices and cancelling. Cancelling takes effect at the end of the month you've paid for — you keep full access until then, and then your account moves to the Free plan. Cancelling deletes nothing: every project, quote and client record stays in your account.
Closing your account
Closing is different from cancelling, and only the account owner can do it: Settings → Billing & Plan → Your data and your account → Close your account. You type your business name to confirm, and we email you to confirm it. If you're not the owner, ask the owner to remove you from the team instead.
- On a paid plan, closing cancels the subscription at the end of the month you've paid for. There are no further charges and you keep full access until then; the account locks when the subscription ends.
- On the Free plan, or if a payment is failing, the account locks straight away. A failing subscription is cancelled at once, so your card isn't tried again.
- Once it's locked, nobody on your team can use it, every link you've sent clients and crew stops working (quotes, invoices, proposals, the project portal, completion pages, condition reports, homeowner walkthroughs, crew briefs and crew links), and pending invitations stop working. We email you the date your data will be deleted.
- 30 days after it locks, everything is permanently deleted.
- Changed your mind? Reopen it from the same screen any time before it's deleted. Reopening before your paid month ends undoes the cancellation; reopening after it has locked brings you back on the Free plan.
Cancelling through Manage subscription is not closing: it just moves you to the Free plan, with nothing locked or deleted.
Downloading your data
The owner can download the business's data at any time, including while the account is closing or closed: Settings → Billing & Plan → Your data and your account → Download your data. You get one file with your clients, sites and buildings, jobs, quotes, invoices, payments, variations, team and pricing, plus a spreadsheet each for clients, jobs, quotes, invoices and payments. Photos and PDFs aren't included, and share links and passwords are left out. Need something the download doesn't cover? Email hello@surfacely.io.
Team seats
Each plan includes a set number of team seats — Free 2, Starter 3, Professional 10 (Enterprise adds per-seat above 10). If you add members beyond your seat limit, you'll receive a grace period notification. Resolve it by upgrading to a higher seat count or removing a member. See the Team and seats article for more detail.
Note: only the account owner can access billing settings. If you're an admin or manager and need to change the plan, ask your account owner.
