Most painters run the job in one app and the books in another, then re-key every invoice by hand at tax time. What syncs to QuickBooks Online
Connect once, and these events flow from Surfacely into QuickBooks automatically. Nothing is re-typed.

Each invoice and payment carries its own sync status in Surfacely — synced, syncing, awaiting invoice, or failed with a one-tap Retry — so a hiccup is visible, never silent.
The tax reconciliation point — QuickBooks total = client-paid total
This is the part that quietly breaks most integrations. If the invoice total in your accounting system is even a cent off what the client actually paid, the payment won't reconcile and you spend tax time chasing pennies. Surfacely's sync is built around one guarantee:
It holds that guarantee two ways, depending on what tax detail is available:
- Jurisdiction-precise tax available. When a location-accurate tax rate and a usable job-site address are on the invoice, tax is posted to QuickBooks as its own line with the ship-to address — the fully itemised, correct treatment.
- Otherwise, tax baked into the line. When precise tax detail isn't available, the tax is folded into the line amount (tax-inclusive, non-taxable) so the totals still equal exactly what the client paid.
Either path lands on the same number. Because the QuickBooks total always equals the client-paid figure, payments apply cleanly and your ledger stays reconciled — no manual adjustment, no orphaned cents.
Built so a duplicate can't happen
Integrations that push data on every save eventually double-post — an invoice created twice, a payment applied twice. Surfacely is designed against that:
- Adopt-before-create. Before creating an invoice, the sync looks for an existing one with the same number and adopts it rather than making a second.
- Deterministic keys. Every create carries a stable idempotency key, so a retry or two events firing at once collapse to a single ledger entry.
- Outstanding-balance cap on payments. A payment is capped to the invoice's live outstanding in QuickBooks; if it's already reconciled there, the post is skipped instead of double-paying.
Connecting — and the fallback you always have
You connect QuickBooks through a secure OAuth link in the accounting settings — no keys to copy, no file exports. Once connected, sync runs in the background as you send invoices and record payments.

How does invoice sync work?
When an invoice moves to sent, it's pushed to QuickBooks as a matching invoice. The sync adopts an existing invoice with the same number before creating one, and every create carries a deterministic key, so retries and races can't duplicate. Failures show a status badge and a Retry.
How does payment sync work?
Recording a payment applies it to the matching QuickBooks invoice. Before posting, Surfacely reads the invoice's live outstanding and caps the payment to it — so rounding differences or an already-reconciled invoice can't cause a rejection or a double-count.
Does the tax match between Surfacely and QuickBooks?
Yes. The QuickBooks invoice total is built to equal the client-paid total to the cent. Where precise tax detail is available, tax posts as its own line; otherwise it's baked into the line amount. Either way the totals match, so payments reconcile.
Is it available in my country?
QuickBooks Online sync is live for US accounts today. Elsewhere, connect Xero, which is available across Surfacely's markets. Non-US QuickBooks is on the roadmap pending local tax validation.
Can I sync invoices from before I connected?
Yes — a "Sync past invoices" backfill pulls pre-connection sent, paid, and overdue invoices in through the same idempotent path, in resumable batches. A CSV tax-summary export is always available as a connection-free fallback.
